Tailwind Ventures is a boutique investment bank focused on complex and capital-intensive sectors. It provides capital markets and M&A advisory, investor relations, and research services to growth-stage and mid-market companies. We're a small, high-performance team that runs on EOS.


We are seeking a highly organized, proactive, and trusted professional to join our team. This is a true right-hand role for our leadership team, and a step up from a traditional executive assistant position.  


Who you are

As Business Operations Coordinator, you will provide administrative support, enable operational efficiency, support marketing, business development, and community engagement efforts, and be an anchor for culture and hospitality. 


You're self-motivated, curious, collaborative, and you're at your best in an environment where no two days look quite the same. You bring structure, follow-through, and momentum to how the business runs day-to-day, protecting leadership's time so their energy goes to the highest-value work. You stay organized and responsive when plans change. You'll be trusted to use good judgment, keep things moving, and take ownership on your own initiative. 


You anticipate what leaders need before they ask, and you have a good eye for the friction points that slow a team down and you take the initiative to resolve them. You can support and challenge when it matters, and you hold a high bar for your own professionalism. You handle sensitive information with discretion, and you're motivated to grow into more responsibility over time.

Reporting to the COO, you will have the opportunity to inform the shape of this role as you grow. 


Primary Responsibilities

Operations and systems

  • Own and improve the operational systems the business relies on, surfacing friction points early and working through them collaboratively.
  • Support our EOS practices in an administrative capacity, including documenting the strategic plan, maintaining the OKR tracker, and helping measure progress against it.
  • Create and maintain SOPs, documenting how things get done so the team can rely on repeatable processes.
  • Recommend and implement tools, including emerging technologies, to improve productivity, streamline processes, and introduce innovative approaches to administrative and operational work.

Leadership support

  • Protect the time and attention of the CEO and COO by managing their calendars and preparing them for what's ahead.
  • Act as a reliable point of coordination across meetings, agendas, communication, and logistics, keeping leadership focused on the highest-value work.

Logistics and hospitality

  • Deliver a polished, professional experience for clients, investors, and partners.
  • Coordinate logistics and hospitality, including scheduling, materials, and administrative first-touch contact under direction.

Culture

  • Help shape what it feels like to work at Tailwind, from team rituals to the office environment.

Marketing and community engagement

  • Coordinate marketing activity across social media, events, and community engagement.
  • Keep our LinkedIn and social presence on a consistent cadence.
  • Plan and execute events hosted by Tailwind.
  • Attend and participate in community events as a representative of Tailwind.


Required Competencies and Qualifications

  • 3–5 years in a coordinator, executive assistant, or operations support role, with demonstrated success supporting high-performing teams.
  • Orientation toward action and continuous improvement.
  • Strong organization and attention to detail.
  • Excellent written and verbal communication. 
  • Sound judgment and discretion with confidential information.
  • Ability to take ownership and work effectively with limited direction.
  • Intermediate proficiency with Microsoft environments, including OneDrive and SharePoint cloud solutions.
  • Experience working in CRMs and other enterprise systems. Experience with Hubspot is considered an asset.
  • Located in Calgary and legally able to work in Canada.
  • Available to work in-office, five days a week, at our downtown Calgary office.
  • At times, business needs arise and employees are required and agree to work beyond their normal work day or work week to fulfill the accountabilities required for their job. Likewise, people need time to devote to personal matters, and our approach to flexibility provides for this.
